  • Partner with the Payroll Specialist to process end-to-end payroll, including tax changes, deductions, retro pay, bonuses, and off-cycle adjustments.
  • Serve as backup to process payroll when the Payroll Specialist is on leave.
  • Manage federal, state, and local payroll compliance, including tax registrations, filings, quarterly employment tax reconciliations, and responding to agency notices.
  • Manage state-specific leave programs (e.g., Family and Medical Leave) and workers’ compensation, and bi-monthly 401k loan administrations.
  • Support the month-end close by preparing payroll-related reports and accounting entries, calculating allocated costs, and reconciling payroll balance sheet reconciliations.
  • Ensure accurate onboarding of new hires in ADP with correct allocations and GL coding.
  • Conduct monthly payroll audits to confirm accuracy of pay registers, taxes, 401(k), overtime, holiday pay, and bonus tax rates.
  • Collaborate with People Operations to address employee payroll questions and ensure timely, accurate processing of updates.
  • Advise People Ops on payroll best practices in partnership with our payroll provider.
  • Manage year-end payroll tasks, including W-2s, financial audits, and 401k audits.
  • Identify and implement payroll process improvements, automation, and efficiency initiatives.

Experience

  • 3–5 years of full-cycle, multi-state payroll processing experience, ideally in a high-growth or hospitality environment.
  • Bachelor’s degree in Business Administration, Finance, Accounting, or a related field required.
  • Strong knowledge of payroll compliance: federal, state, and local taxes, service charges, tip reporting, and leave laws.
  • Proficient with ADP Workforce Now, Netsuite, Excel, and Google Suite; able to troubleshoot and automate workflows.
  • Solid understanding of payroll accounting, reconciliations, accruals, and cost allocations to support month-end close.
  • Strong analytical and problem-solving skills with acute attention to detail and a sense of urgency around deadlines.
  • Highly organized, self-motivated, and able to work independently in a fast-changing environment.
  • Communicates payroll and accounting concepts clearly across technical and non-technical teams.
  • A team player who values collaboration, continuous improvement, and confidentiality in handling sensitive data.
